Manage project inventory

Receive, reserve, issue and return company materials, tools and equipment across projects.

Step-by-step guidance

Who can do this: Every plan includes stock records and tool returns. Growth and above add reservations and equipment bookings. Your role and project access control what you can change.

Before you begin

  • A project and a store or project location
  • Item names, base units and a choice between consumable or returnable stock

Steps

  1. Open Inventory, add an item and choose pooled quantity or individual asset tracking.
  2. Record a receipt into a store. Enter an agreed value when known; leave unknown cost unpriced.
  3. Reserve items for project dates. Transfer all or part of a reservation, or check out the items to the project and custodian.
  4. Record material consumption and waste separately. Return reusable items in full or in parts, recording damage or loss when needed.

Expected result

See what is in stock, reserved and still due back.

Next action

Check overdue loans and unavailable equipment before promising items to the next project.

Common problems

  • An overlapping booking or insufficient unreserved stock stops the action.
  • A transfer changes the stock location. It does not record material consumption.
  • Correct recorded material use with a reasoned reversal. Keep the original record and enter the replacement separately.
